A monthly Power Automate flow was designed to export Power BI Paginated Reports automatically based on unique object IDs. The flow triggered on a fixed monthly schedule, retrieved IDs using a DAX query from the Power BI dataset, and looped through each ID to export parameterized CSVs.
Each report output was saved as a CSV file in a network file system or SFTP server, named dynamically by Object Type and Month. Logs were maintained in Excel/Dataverse to ensure traceability and successful completion of all runs.
This automation eliminated manual month-end report generation, reduced processing time, and delivered consistent data extracts across regions and object types.
Three distinct schedules were in place, creating timing challenges that led to data arriving late or causing unnecessary refreshes.
Our organization operates a complex Power BI ecosystem, with approx. 184 datasets and dataflows sourced from multiple databases, cloud services, and external APIs. These datasets power critical business reports used by different departments across the company. The current schedule refresh process is becoming increasingly cumbersome and unreliable, often resulting in data refreshes of the tables which are not required, and it eventually led to performance bottlenecks.
The client's requirements were tricky as they wanted data from Power BI to be pushed to their HR systems. We were able to achieve this using PowerApps and PowerBI.
